Add, edit or remove a vehicle
Manage vehicle identity, tracker assignment, driver, appearance and operational details from the Vehicles page.
Use Vehicles to add vehicles that your organisation wants to track or include in its records. A hardware-tracked vehicle receives locations from an installed tracker. A virtual vehicle has no dedicated tracker and is useful for journey, driver or reservation records that do not require live hardware tracking.
Hardware tracked
A physical tracker is installed and the vehicle should report live locations.
Virtual
The vehicle is needed for reservations, assignments or records but does not need live tracking.

Before you start
You need permission to edit vehicles. Have the vehicle registration, the name users should see and, for live tracking, the tracker details ready. Before removing a vehicle, export any reports your organisation must keep. Removal can prevent users from finding the vehicle and its previous activity in normal views.
Steps
- Open Vehicles.
- To add a vehicle, select Add Vehicle. To update one, open the existing vehicle and select the edit action.
- Enter a clear vehicle name, such as its registration or fleet number, and complete the registration and other details your organisation uses.
- For live tracking, assign the tracker installed in this vehicle. Otherwise, choose the virtual vehicle option when it is available. If you assign the wrong tracker, another vehicle's locations will appear under this vehicle.
- Assign the current driver if your organisation uses driver assignments. Choose an icon and colour that make the vehicle easy to identify on the map, and enter maintenance values only when your organisation tracks them in Track My Ride.
- Select Save, then check that the vehicle appears in the list with the expected name and tracker.
- To remove a virtual vehicle, open its editor, select the delete action, read the warning and confirm that you selected the correct vehicle. A hardware-tracked vehicle cannot be deleted this way; deactivate its tracker through the tracker-management action and review the billing date before confirming.
What happens next
The vehicle appears in the vehicle list. A hardware-tracked vehicle appears on Map after its tracker sends a location. A virtual vehicle does not provide live locations. Export required reports before deleting or deactivating a vehicle so your organisation keeps the records it needs.
Troubleshooting
If a tracker cannot be selected, check whether it is assigned to another vehicle or its tracker licence is inactive. If the saved details do not appear, reload Vehicles once. If they are still missing, confirm that you selected Save and that your account has vehicle-editing permission.
