Analyse vehicle usage with Journeys and Journey Summary
Review individual vehicle trips, compare distance and activity totals, investigate stops and classify business or private use.
Use Journeys and Journey Summary together to understand how vehicles are being used. Start with the summary to compare vehicles or identify unusual totals, then open Journeys to inspect the trips behind those figures.
Journeys
Investigate individual trips: when and where each trip started and stopped, who drove, distance, speed, classification and notes.
Journey Summary
Compare vehicle-level totals: journey count, driving time, distance, speed, stops and daily activity over the selected period.
Tax Logbook
Calculate business and private distance percentages after journey classifications have been checked.
Before you start
A journey begins when Track My Ride detects movement and ends after the vehicle remains stationary for the configured End of journey period. A brief stop may therefore remain inside one journey, while a longer stop can split movement into separate journeys. Tracker connectivity, GPS quality and engine-detection settings can also affect the result.
Confirm the account timezone, the vehicles being compared and the period you need. Start with a short known period before analysing a month or the whole fleet.
Track My Ride can classify journeys as business or private based on the account default, rosters, reservations and zones. The order and matching rules are configured under Settings > Application Settings. A manual change takes precedence for that journey.
Reports contain vehicle locations, driver names and operational patterns. Select only the vehicles needed and share results only with authorised recipients.
Steps
Run the Journeys report
- Open Reports > Journeys.
- Choose the shortest date range that contains the activity you need.
- Select one vehicle or person when investigating a specific issue. Select all devices only for a fleet-wide review.
- Select Options when you need stopped periods or a day-and-hour filter.
- Set Include stops to Yes to add Stopped rows between journeys. Leave it set to No when you need only trips.
- In Data Filter, make the required day and hour cells green. The filter checks the time each journey started; a journey that starts inside an included hour remains in the result even if it finishes later.
- Close Options, then select Run Report. Changing a filter does not update existing results until the report is run again.
- Confirm the expected vehicles, dates and times before analysing the rows.
Read a journey row
Name / Rego
Identifies the tracked vehicle or Location Sharing source. Use registration to distinguish similarly named vehicles.
Driver
Shows the person assigned or logged in during the journey. A blank or unexpected driver usually means the assignment source needs checking.
Type
Traveling is a journey. Stopped appears only when stops are included and represents stationary time between journey records.
Start / Stop / Duration
Defines the recorded journey window. Compare unexpected boundaries with the account timezone, End of journey setting and Raw GPS data.
From / To
Shows the resolved start and stop locations. Select an address to inspect its map position. An address is derived from GPS coordinates and may identify the nearest road rather than the exact entrance.
Distance / Odometer
Distance is calculated for this journey. Odometer is the vehicle's accumulated tracked distance at that point and depends on its configured starting or corrected value.
Speed
Shows average and top recorded journey speed. Treat an isolated top-speed value as a reason to inspect nearby GPS points, not as conclusive evidence by itself.
Classification
Shows Business or Private. Users with edit permission can change it manually; the change is saved for that journey.
Notes / Auto Notes
Notes are editable operational context. Auto Notes explain applicable automatic context. Add only information needed for reporting.
Expand a row when responsive columns are hidden. Use the available View Path action to inspect a journey on the map where shown.
Run Journey Summary
- Open Reports > Journey Summary.
- Use the same date range and vehicle selection as Journeys when you want the totals to reconcile.
- Open Options to apply a day-and-hour filter. Journey Summary uses the same journey-start rule as Journeys, but does not have an Include stops choice because stop totals are calculated automatically.
- Select Run Report.
- Compare the headline totals, then expand the row to see stop totals, daily activity windows and distance by day.
Understand Journey Summary calculations
Journeys
Number of Traveling rows included by the selected date, vehicle and start-hour filters.
Avg. Journey Time
Total journey duration divided by journey count. It excludes stopped duration.
Total Journey Time
Sum of the included Traveling durations. It is driving or journey time, not the full time between first departure and last return.
Avg. Journey Distance
Total included journey distance divided by journey count.
Total Distance
Sum of included journey distances. Minor differences can result from displayed rounding.
Speed
Avg is the average of the individual journey average-speed values. Top is the highest top speed among included journeys. The average is not calculated as total distance divided by total journey time.
Stops / Avg. Stop Time / Total Stopped Time
Count, average duration and total duration of the Stopped records between journeys. These are available in expanded details.
Daily Activity
First journey start to last journey stop shown for each active date. It is an activity window, not continuous driving time. Gaps and stops can occur inside it.
Daily Total Distance
Included journey distance assigned to the day on which each journey started. A journey crossing midnight remains associated with its start day.
Common vehicle-usage analyses
Which vehicles travelled the most?
Run Journey Summary for the same period and compare Total Distance. Confirm outliers in Journeys.
Which vehicles were active for the longest window?
Expand Journey Summary and compare Daily Activity, then use Total Journey Time to separate driving from the overall operating window.
Are vehicles making many short trips?
Compare Journeys, Avg. Journey Time and Avg. Journey Distance. Inspect individual trips before changing journey-end timing.
Is stopped time unusually high?
Compare Stops, Avg. Stop Time and Total Stopped Time, then run Journeys with Include stops enabled to locate the relevant periods.
What happened on a specific day?
Filter to one vehicle and day in Journeys, then review times, addresses, driver, distance and path in sequence.
Was activity outside expected hours?
Apply the required hour filter for a focused report, or use full coverage and inspect start times when you need evidence of both expected and unexpected activity.
Who used the vehicle?
Review Driver in Journeys and compare uncertain periods with Driver History or Driver ID events. Journey Summary does not group totals by driver.
What proportion was business use?
Check classifications in Journeys first, then run Tax Logbook for business and private distance totals and percentage.
Classify, export or schedule results
When you have edit permission, change a Journey row to Business or Private and move out of a Notes field to save its text. Reopen or rerun the report to confirm important changes before producing a Tax Logbook.
Use CSV or Excel when you need to sort, calculate or compare rows. Use PDF for a fixed readable record. Journey GPS Data (CSV) contains the underlying journey points and is more sensitive and much larger than the standard Journeys export; download it only for a specific investigation.
Use Schedule for a recurring supported report. Check its recipients, filters, frequency and timezone because later deliveries expose ongoing movement patterns.
What happens next
Journey Summary provides a starting point for comparison, while Journeys provides the evidence behind each total. Record the report name, date range, timezone, selected vehicles and hour filter with any exported analysis so another authorised reviewer can reproduce it.
Manual classification and notes appear in supported reporting. Unmodified journeys continue to follow the configured automatic rules. Changing classification does not alter the recorded times, path or distance.
Troubleshooting
- A report is empty: Confirm the selected vehicle, date range, timezone and green Data Filter cells. Use Full Coverage or widen the period before assuming no activity occurred.
- A journey is missing: Check whether its start hour was excluded. Then compare Map playback and Raw GPS data for tracking or upload gaps.
- A trip starts or ends at an unexpected time: Review Raw GPS around the boundary and check End of journey under Application Settings. Do not confuse it with Seconds before stopped, which controls map stop markers.
- One real-world outing appears as several journeys: Look for stationary periods long enough to end a journey. Confirm GPS and engine detection before increasing End of journey, because that change affects all later journey processing.
- Several movements appear as one journey: Check whether stops were shorter than End of journey, or whether tracking gaps prevented a reliable boundary.
- A driver is blank or incorrect: Review vehicle/person assignment, app login and Driver ID events for the journey period.
- A classification is unexpected: Check whether it was manually edited, then review auto-classification precedence, source roster/reservation/zone classification, matching and padding.
- Journey Summary does not match Journeys: Run both with the same vehicle, dates and hour cells. Remember that summary journey totals use Traveling rows, stop totals use Stopped rows, and displayed values are rounded.
- Daily Activity looks longer than Total Journey Time: This is expected when stops or inactive gaps occur between the first journey start and last journey stop.
- Distance or speed looks wrong: Compare adjacent journeys, Map playback and Raw GPS before relying on one value. GPS quality, missing points and configuration can affect derived results.
- A manual classification or note does not save: Confirm edit permission, move focus out of the Notes field, rerun the report and check the same journey again.
