Analyse time in zones, current presence and activity heatmaps

Choose the right zone report, review historical entry and exit periods, locate current vehicles and find areas with concentrated GPS activity.

Before you start

Create and check the relevant map zones before running Time in Zones or Zone Stocktake. A zone boundary change affects how later positions are interpreted and can make comparisons with older exports difficult.

Zone and heatmap results depend on received GPS positions. Signal accuracy, upload gaps and the selected date range can affect the result. A heatmap measures the number of recorded points in an area; it does not directly measure dwell time, visits, distance or productivity.

Reports can reveal sensitive locations and movement patterns. Limit filters and exports to the vehicles and areas the recipient is authorised to review.

Steps

Review historical time in zones

  1. Open Reports > Time in Zones.
  2. Select the date range and vehicle selection.
  3. Select Options, then choose All zones or the specific zones relevant to the question.
  4. Select Run Report.
  5. Review each vehicle's Entry Time, Exit Time, Zone Name and Duration. Expand or filter rows when you need to isolate one vehicle, driver or zone.
  6. Check unexpected periods against the map zone boundary and source GPS data before acting on them.

Take a current zone stocktake

  1. Open Reports > Zone Stocktake.
  2. Select Run Report. This report uses the vehicles' currently recorded locations and does not use a historical date-range control.
  3. Review the vehicle, registration, Recorded At time and matching Zones.
  4. Treat an old Recorded At time as stale location data rather than proof that the vehicle is still present. Check the vehicle on Map or troubleshoot its connection.

Find concentrated activity with Heatmap

  1. Open Reports > Heatmap.
  2. Choose the date range and vehicles.
  3. Select Options and choose an approximate grid width from 50 km down to 10 m. Start with a larger grid for regional patterns and reduce it only when you need local detail.

  1. Select Run Report.
  2. Review each grid's percentage of the selected results, approximate location, vehicle count and GPS point count. Grids with fewer than 10 points are excluded.

  1. Select View to open a result area on Map. Track My Ride outlines the grid temporarily so you can inspect nearby roads, zones and vehicle context.
  2. Rerun with a different grid size when one cell covers too broad an area or the chosen precision produces too few useful cells.

What happens next

Export the active report when you need to preserve its filters and result. Record the date range, vehicle selection, zone filter or heatmap grid size with the export so another reviewer can reproduce it.

Use report patterns to guide a closer review. Confirm significant findings against journeys, Raw GPS data and operational context rather than relying on a single zone or heatmap result.

Troubleshooting

  • Time in Zones is empty: Confirm the zone existed for the period, the correct zones and vehicles are selected, and matching GPS points were received.
  • A duration looks wrong: Review the entry and exit positions in Raw GPS and check whether location gaps or an inaccurate point crossed the zone boundary.
  • A vehicle is absent from Zone Stocktake: Check its latest location time and whether that point falls inside a current zone.
  • Heatmap omits an area you expected: Widen the date range or grid size and confirm at least 10 selected GPS points fall in the grid.
  • Heatmap percentages change after adjusting grid size: Changing the grid groups the same selected points into different areas, so rankings and percentages are recalculated.
