Create your first zone and alert

Draw a practical geozone and set up a simple entry or exit alert for one vehicle.

Use this guide after checking your vehicle on Map. It creates a simple depot zone and an entry alert without changing tracker configuration.

Before you start

  • Use a desktop browser and sign in as an administrator or manager who can edit zones and alerts.
  • Make sure at least one vehicle is visible on Map.
  • Choose a real place such as your depot, office or customer site where a test entry can happen safely.
  • Decide which email address or app user should receive the test alert.

Steps

1. Create your first zone

A zone, also called a geozone or geofence, is an area Track My Ride can use for alerts and reports.

  1. On Map, select the zone editing control (Pin icon, top right).
  2. Select New.
  3. Click around the map to place the corners of the zone, then click the first point again to close the boundary.
  4. Draw around the normal parking and access area rather than tracing a building tightly. A practical buffer reduces false entry and exit events caused by normal GPS movement.
  5. Give the zone a clear name such as Main Depot. Leave Logbook unchanged unless this zone should automatically classify journeys as business or private.
  6. Save the zone, check its boundary, then select Finish editing zones.

For editing, deleting, overlapping zones and journey classification, see Create and manage map zones.

2. Create your first zone alert

  1. Open Alerts, then open Alert Setup and select New Alert.
  2. Set Alert Type to Zone Entry. Use Zone Exit instead when you need to know when a vehicle leaves the area.
  3. Under Criteria, select Main Depot or the zone you created.
  4. Under Devices, select one vehicle for the first test.
  5. Add an email address or app push recipient. SMS alerts require available SMS credits.
  6. Review any active-time and frequency controls, then save and enable the alert.

  1. When it is safe, drive the selected vehicle from outside to inside the zone. Wait for a new GPS update, then confirm that the event appears under Alerts and that the selected notification arrives.

For schedules, frequency limits, ignored zones and multiple notification channels, see Create and manage alerts.

What happens next

Track My Ride compares new GPS updates with the saved boundary. The alert can trigger when the selected vehicle reports a qualifying zone entry while the rule is enabled and its schedule permits notifications.

The event depends on reported GPS positions, not on continuous live monitoring. A sleeping or offline tracker may report the entry later or may not provide enough points to identify the crossing.

Troubleshooting

  • If the vehicle is missing from Map, clear the search and confirm that your user can access it.
  • If zone editing is unavailable, ask an account administrator to check your permissions.
  • If the zone is not visible after saving, enable the zones layer under Settings > Application Settings.
  • If the alert does not trigger, confirm that it is enabled and that the correct zone, vehicle, schedule and recipient are selected.
  • If alerts trigger near the boundary, enlarge the zone to include the normal parking and access area, then test again.
  • Check Reports > Alert History to distinguish a missing event from a notification delivery problem.
