Vehicle reservations

Ensure vehicles are used efficiently and avoid double booking with Track My Ride's vehicle reservation system. You'll get a full overview of when, how and by who your vehicles are being used, allowing you to better plan and optimise your fleet.


How to

To create a reservation follow the steps below
  1. Sign in to your Track My Ride account.
  2. Go to the vehicles page.

  3. Open the Reservations tab at the top of the screen.

  4. Click the + New button.

  5. Fill out the information in the pop-up window that appears.

    Name: Vehicle being reserved

    Driver: The person driving the vehicle 

    Title: A title for the reservation to show in the Track My Ride interface

    Description: A description of the reservation

    Classification: Label as business or private to be used in the Journey and Tax Logbook reports

    Repeating: Set the reservation as repeating or as a once-off event

         If repeating, set the daily hours or weekly days to choose how the reservation repeats

         
          In the above snippet, the reservation will be between 09:00 and 17:00 on Tuesday, Wednesday and Friday. The reservation will start repeating from 21/05/2023; after 10/06/2023, it will stop repeating.
    Period: The start and end time for the reservation.
  6. Save the reservation by clicking Save at the bottom of the page.

  7. Your record should now be saved. If the below popup appears, edit the details above to ensure there is no overlap or follow the onscreen prompts to allow for an overlapping reservation.
