Add a New Vehicle to Your Track My Ride Account
Learn how to add hardware or mobile tracked vehicles to your fleet
Need to add another vehicle to your Track My Ride account? Whether you're growing your fleet with a new hardware tracker or trying mobile phone tracking for the first time, this guide walks you through the complete process. You'll learn how to set up both types of tracking, understand the configuration options, and know what costs to expect.
Two Types of Vehicle Tracking
Track My Ride offers two different ways to track your vehicles, each suited to different situations.
Hardware Tracked Vehicles
Hardware tracked vehicles use a dedicated GPS device installed in your vehicle. This tracker provides 24/7 monitoring of your vehicle's location, even when no driver is present. Hardware trackers are ideal for businesses that need comprehensive vehicle monitoring, theft prevention, or want to track vehicles regardless of who's driving.
Mobile Tracked Vehicles
Mobile tracked vehicles use your driver's smartphone instead of dedicated hardware. The Track My Ride mobile app automatically detects when your driver is behind the wheel and records their location during driving activities. Drivers can select which vehicle they're operating from within the app, making this option perfect for businesses where drivers switch between different vehicles or for companies wanting to try tracking without upfront hardware costs.
Before You Start
If you previously had a Track My Ride hardware tracker on your account that you want to reactivate, you'll need to follow a different process. See our article on how to reactivate a hardware vehicle tracker instead of following these steps.
Adding Your New Vehicle
Step 1: Access Your Account
Log in to your Track My Ride account at https://app.trackmyride.com.au or open the Track My Ride mobile app on your phone. If you don't have an account yet, you'll need to create one first.
Step 2: Navigate to Vehicles
Look for the vehicles section in your account. You'll see a truck icon in the menu – click on it to view your vehicles page.
Step 3: Start Adding a Vehicle
Click the green "New" button at the top of the vehicles page. This opens a popup where you'll choose what type of vehicle to create.
Step 4: Choose Your Tracking Type
You'll see two options in the popup:
Hardware Tracked Vehicle: Select this if you're installing a physical Track My Ride GPS tracker in your vehicle. This option gives you 24/7 tracking and works independently of any driver.
Mobile Tracked Vehicle: Choose this if your drivers will use their smartphones to track location. The app automatically detects driving activity and saves the location data to whichever vehicle the driver has selected in the app.
Setting Up a Hardware Tracker
If you're activating a new hardware tracker, you'll need to enter its details in the activation window.
Important Information About Hardware Models
The TMR-S1, TMR-S5, and TMR-S7 model units can no longer be activated. These models reached their end of life due to the 3G network shutdown that occurred in 2024. If you have one of these older models, you'll need to purchase a newer 4G-compatible tracker.
Finding Your Communication ID
Your tracker's Communication ID is printed on the device itself or on the side of its box. This unique identifier tells Track My Ride which specific tracker you're activating.
Entering Tracker Details
In the activation popup, you'll need to provide:
Communication ID: Enter the ID from your tracker (starts with "Bxxxxx")
Name or Registration Number: Give your vehicle a name or enter its registration plate. This is how you'll identify it in the system.
Timezone: Select the timezone where your vehicle operates. This ensures journey times and reports show correctly for your location.
Setting Up a Mobile Tracked Vehicle
If you're setting up mobile phone tracking, you'll need to enter the vehicle details in the popup window.
Entering Vehicle Details
Name: Give your vehicle a name or nickname that drivers will recognise
Company ID: This optional field helps you organise vehicles by department or division
Map Icon: Choose an icon that represents this vehicle on the map (car, van, truck, etc.)
Registration Number: Enter the vehicle's registration plate for easy identification
Odometer: If you want to track total kilometres travelled, enter the current odometer reading
Journey Hourmeter: This tracks engine hours if you need that data
Timezone: Select the correct timezone for where this vehicle operates
Path Colour: Choose a colour for this vehicle's route on the map. This helps you quickly identify different vehicles when viewing multiple paths.
Completing Mobile Vehicle Setup
Click "Save" to create the mobile tracked vehicle. Your drivers can now open the Track My Ride mobile app, select this vehicle from their list, and their driving activity will automatically be recorded against this vehicle.
What Happens After Adding a Vehicle
Once you've added your vehicle, it appears in your vehicles list. For hardware trackers, you'll see location updates as soon as the device starts communicating with the Track My Ride system. For mobile tracked vehicles, you'll see data once a driver selects the vehicle in the app and starts driving.
Supported Phones for Mobile Tracking
Mobile tracking requires drivers to have a compatible smartphone with the Track My Ride mobile app installed. The app is available for both iOS (iPhone) and Android devices. Drivers need to have location services enabled and grant the app permission to track their location in the background.
Troubleshooting Common Issues
My Hardware Tracker Isn't Showing Up
If you've just activated a hardware tracker and it's not appearing on the map yet, wait a few minutes. The tracker needs time to establish a GPS fix and communicate with the Track My Ride servers. Make sure the tracker has power and is installed with a clear view of the sky.
I Can't Find My Communication ID
The Communication ID is printed on your tracker unit and on the box it came in. It starts with "Bxxxxx". If you've lost both the tracker and the box, contact Track My Ride support for assistance.
My Mobile Tracked Vehicle Isn't Recording Trips
Make sure your driver has:
- Downloaded the Track My Ride mobile app
- Logged in with their account
- Selected the correct vehicle in the app
- Granted location permissions to the app
- Enabled location services on their phone
I'm Getting an Error About 3G Models
If you're trying to activate a TMR-S1, TMR-S5, or TMR-S7 tracker, these models are no longer supported due to the 3G network shutdown. You'll need to purchase a newer 4G-compatible tracker model. Contact Track My Ride to discuss upgrade options.
Frequently Asked Questions
How many vehicles can I add to my account?
There's no limit to the number of vehicles you can add. Each hardware tracker requires a paid licence, while mobile tracked vehicles are included with your subscription.
Can I switch a vehicle from mobile tracking to hardware tracking?
Yes, you can change the tracking type for a vehicle. You'll need to add a new hardware tracked vehicle and can then remove or rename the old mobile tracked vehicle entry.
Do mobile tracked vehicles cost extra?
Mobile tracked vehicles don't require additional hardware costs, but your subscription plan may limit how many you can create. Check your plan details or contact Track My Ride for information about your specific subscription.
Can multiple drivers use the same mobile tracked vehicle?
Yes, multiple drivers can select the same vehicle in their mobile app. The system records whichever driver is currently operating that vehicle. This makes mobile tracking perfect for shared vehicle fleets.
What happens if I add a hardware tracker mid-billing cycle?
You'll pay a prorated amount for the remainder of your current billing period. From the next billing cycle onwards, you'll pay the full licence fee for that tracker.
Can I temporarily deactivate a vehicle?
Yes, you can deactivate hardware trackers to stop billing while keeping the vehicle in your system. See our article on vehicle management for details on how to do this.
Does mobile tracking work when drivers are overseas?
Mobile tracking works wherever the driver has mobile data or WiFi connectivity. However, international roaming charges may apply depending on your driver's phone plan. Check with your mobile provider about data costs when travelling.
